We are the data controller for the personal data described in this policy. If you have any questions about how we handle your data, please contact us at contact@physivitis.tech.

2. What Data We Collect

We collect personal data in the following circumstances:

  • Resource and guide downloads — name, work email, organisation, role, sector, and marketing consent when you request a guide or whitepaper.
  • Product enquiries (TCBA, USMC, PBPF-IDO, etc.) — name, job title, organisation, email, telephone, sector, and details about your intended use case and requirements.
  • Contact form — name, email, organisation, and the content of your message.
  • Newsletter subscription — email address.
  • Account registration — email address and password (stored securely and never in plain text).
  • Usage data — pages visited, browser type, and approximate location derived from IP address, collected automatically when you use our website.

3. How We Use Your Data

We use your personal data to:

  • Deliver the resource, guide, or whitepaper you requested.
  • Respond to your enquiry or contact form message.
  • Send you the newsletter and research updates you subscribed to.
  • Manage your account and provide access to our products (TCBA scan portal, dashboards, etc.).
  • Evaluate product enquiries and contact you about our services.
  • Improve our website and understand how visitors use it.
  • Comply with our legal and regulatory obligations.

4. Legal Basis for Processing (UK GDPR)

We process your personal data on the following legal bases:

  • Consent — for marketing communications (newsletters, research updates, and guide follow-ups). You can withdraw consent at any time by unsubscribing or emailing us.
  • Legitimate interests — for responding to business enquiries, improving our website, and maintaining security.
  • Contract — when you register for an account or purchase a product licence, we process data to fulfil that contract.
  • Legal obligation — where we are required to retain or disclose data to comply with law.

5. Data Sharing

We do not sell your personal data. We may share it with:

  • Service providers — trusted third-party companies that help us operate our website and services (e.g. cloud hosting, email delivery, payment processing via Stripe). These providers process data only on our instruction and under data processing agreements.
  • Legal and regulatory authorities — where required by law, court order, or to protect the rights, property, or safety of Physivitis or others.

We will not transfer your data outside the UK/EEA without appropriate safeguards in place.

6. Data Retention

We retain personal data only as long as necessary:

  • Marketing contacts and leads — until you withdraw consent or request deletion, or for up to 3 years from last contact if you do not engage.
  • Enquiries — for up to 5 years to support any follow-up business relationship.
  • Account data — for as long as your account is active, and for up to 2 years after closure unless a longer period is required by law.
  • Website usage logs — typically up to 12 months.

7. Cookies

Our website uses essential cookies required for the site to function (e.g. authentication session cookies). We do not use tracking or advertising cookies. We may use anonymised analytics to understand site usage.

8. Your Rights

Under UK GDPR, you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — ask us to correct inaccurate data.

  • Withdraw consent — at any time where processing is consent-based.

To exercise any of these rights, please email contact@physivitis.tech. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO).

9. Security

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. All data is stored in encrypted form in EU/UK data centres. Passwords are hashed and never stored in plain text.
